SUPPLIER RULES AND RESTRICTIONS
The content and information in this agreement (including, but not limited to, price and availability of travel services), as well as the infrastructure used to provide such content and information, is proprietary to us or our suppliers and providers. While you may make limited copies of your travel itinerary (and related documents) for travel or services booked through Expo Travel Bureau, you agree not to otherwise modify copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer, or sell or re-sell any information, software, products, or services obtained from or through this Website
Additionally, you agree not to:
(i) use this Agreement or its contents for any commercial purpose
(ii) make any speculative, false, or fraudulent reservation or any reservation in anticipation of demand;
(iii) access, monitor or copy any content or information of this Agreement using any robot, spider, scraper or other automated means or any manual process for any purpose without our express written permission;
(iv) “frame”, “mirror” or otherwise incorporate any part of this Agreement into any other agreement without our prior written authorization
Expo Travel Bureau Terms, Conditions, and Notices Agreement between Customer & Expo Travel Bureau this agreement is offered to you conditioned upon your acceptance without modification of all the terms, conditions, and notices set forth below (collectively, the “Credit Card Authorization Service Agreement”). By returning this page in any manner, you agree to be bound by the Agreement. Please read the Agreement carefully.

Expo Travel Bureau believes in protecting your privacy. All Expo Travel Bureau customers are entitled to complete privacy and will not have their information sold, shared, or distributed in any manner. We will review and address all notices that comply with the requirements above.
We suggest that you consult your legal adviser before filing a notice or counter-notice. Also, be aware that you may be liable for damages if you make a false claim of copyright infringement.
You acknowledge that Expo Travel Bureau pre-negotiates certain room rates with hotel suppliers to facilitate the booking of reservations on your behalf. The room rate is a combination of the pre-negotiated room rate for rooms reserved on your behalf by Expo Travel Bureau and the facilitation fee retained by Expo Travel Bureau to compensate us for our services.
You authorize Expo Travel Bureau to book reservations for the total reservation price, which includes the room rate discussed, plus tax recovery charges, and service fees. You agree that your credit card will be charged by Expo Travel Bureau for the total reservation price. Upon submitting your reservation request you authorize Expo Travel Bureau to facilitate hotel reservations on your behalf, including making payment arrangements with hotel suppliers.
You acknowledge that Expo Travel Bureau does not collect taxes for remittance to applicable taxing authorities. The tax recovery charges on prepaid hotel transactions are a recovery of the estimated transaction taxes (e.g. sales and use, occupancy, room tax, excise tax, value added tax, etc.) that Expo Travel Bureau pays to the hotel supplier in connection with your hotel reservations. The hotel suppliers invoice Expo Travel Bureau for tax amounts. The Hotel suppliers remit applicable taxes to the applicable taxing jurisdictions.
Expo Travel Bureau does not act as co-vendors with the supplier with whom we book or reserve our customer’s travel arrangements. Tax-ability and the appropriate tax rate vary greatly by location. The actual tax amounts paid by Expo Travel Bureau; to the hotel suppliers may vary from the tax recovery charge amounts, depending upon the rates, tax-ability, etc. in effect at the time of the actual use of the hotel by our customers. We retain our service fees as compensation in servicing your travel reservation. Our service fees vary based on the amount and type of hotel reservation.
Expo Travel Bureau is providing a room accommodation reservation and booking service to you and your company. Expo Travel Bureau provides such competitive room rates and service pricing due to its ability to reserve, hold and pre-pay for rooms for its clients at the time of reservation. Thus, it is agreed that you are receiving services from Expo Travel Bureau for setting up, negotiating, arranging, confirming and providing the ability for you to receive pre-paid room accommodation reservations.
A 25% deposit will be processed immediately via payment through the listed credit card, with the remaining balance charged immediately after the agreed upon room accommodation requested by you has been confirmed. Please check room booking confirmation for details. Final agreed upon room accommodations will be emailed to you 30 days after initial booking and you will have 72 hours from receipt to make changes to final room accommodations. While there is no guarantee that Expo Travel Bureau will be able to accommodate the requested changes, Expo Travel Bureau will take every effort to adjust, change and seek our customer’s utmost satisfaction.
Expo Travel Bureau understands that sometimes plans change. However, as mentioned, Expo Travel Bureau is able to offer such competitive pricing due to its ability to reserve, hold and pre-pay for rooms for its clients at the time of reservation. Thus, changes made after final accommodation is agreed upon, but prior to 30 days before check in will not be assessed a fee. Any reductions due for changes or cancellations will be applied as credit for customer’s next booking. Credit will expire if not utilized within 180 days of issue.
Changes made after 30 days prior to check in will be subject to a 25% fee, plus any fees costs, and taxes charged by the hotel. In addition, should the entire reservation be cancelled you agree to pay a cancellation fee in the amount of 25% of the total cost of room accommodation. This cancellation fee reflects the Expo Travel Bureau services already performed on your behalf, monies already paid on your behalf and monies earned by Expo Travel Bureau for services deemed performed. Expo Travel Bureau reserves the right to waive this cancellation fee at any time, at its sole discretion on a case by case basis. The law governing this Authorization.
Expo Travel Bureau allows for customers to make changes to their reservations without penalty. Based on our experience we realize customers in many cases have to change dates or cancel a room or two. This policy is put into place to ensure our customers have peace of mind that their reservations are secure, accurate, and match their accommodation needs. However, we have seen in some case where a customer will make more than a reasonable amount of amendments or cancellations.
If Expo Travel Bureau feels said amendments exceed a reasonable amount or any changes constitute abuse of policy we will then impose the following penalties at our discretion. You may not cancel more than 45% of the rooms you requested. If your rooming list is more than 3 rooms. You will be charged a $50 fee for each amendment over 3.
We request you decide your final rooming list 40 days before your check in date if possible. Should you need to make more than 3 changes or cancel more than 45% of your reservation you will agree to pay a penalty of no less than 1 night per room plus any other penalty the hotel might or Expo Travel Bureau may impose. This is put in place only for customers that abuse our cancellation change policy and is not for the customers that fall in the norm of doing business.
You agree to defend and indemnify the Expo Travel Bureau Affiliates, and/or their respective suppliers and any of their officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal and accounting fees, brought by third parties as a result of:
(a) your breach of this Agreement or the documents referenced herein;
(b) your violation of any law or the rights of a third party; or (c) your use of this Website.
You agree that no joint venture, partnership, or employment relationship exists between you and the Expo Travel Bureau as a result of this Agreement.
Our performance of this Agreement is subject to existing laws and legal process, and nothing contained in this Agreement limits our right to comply with law enforcement or other governmental or legal requests or requirements relating to your use of this Agreement or information provided to or gathered by us with respect to such use. To the extent allowed by applicable law, you agree that you will bring any claim or cause of action arising from or relating to your access or use of this Agreement within two (2) years from the date on which such claim or action arose or accrued or such claim or cause of action will be irrevocably waived.
If any part of this Agreement is determined to be invalid or unenforceable pursuant to applicable law including, but not limited to, the warranty disclaimers and liability limitations set forth above, then the invalid or unenforceable provision will be deemed superseded by a valid, enforceable provision that most closely matches the intent of the original provision and Agreement shall continue in effect.
This Agreement (and any other terms and conditions referenced herein) constitutes the entire agreement between you and Expo Travel Bureau with respect to this Agreement and it supersedes all prior or contemporaneous communications and proposals, whether electronic, oral, or written, between the customer and Expo Travel Bureau with respect to this Agreement. A printed version of this Agreement and of any notice given in electronic form shall be admissible in judicial or administrative proceedings based upon or relating to this Agreement to the same extent and subject to the same conditions as other business documents and records originally generated and maintained in printed form.
Fictitious names of companies, products, people, characters, and/or data mentioned on this Agreement are not intended to represent any real individual, company, product, or event.
Any rights not expressly granted herein are reserved.
Expo Travel Bureau is not responsible for any loss or damage, no matter how caused, to any samples, displays, properties, or personal effects brought into the Hotel.
The “Terms and Conditions” represent the entire agreement between the parties, superseding all prior proposals both oral and written, negotiations, representations, commitments and other communications between the parties, and may only be supplemented or changed in writing, signed by a representative of the group and Convention Housing Services Director.
No representative of the Hotel has been or is authorized to make any representation which varies from the express terms of the “Terms and Conditions”, though this contract may be supplemented or amended in writing.
